Policy
We understand that plans change. This Refund Policy outlines the terms and conditions governing cancellations, refunds, and modifications to your Globetrix Tours booking. We strive to be fair and transparent while protecting the significant advance commitments we make to our travel partners on your behalf.
General Cancellation Framework
All cancellation requests must be submitted in writing via email to info@globetrix-tours.com. The effective date of cancellation is the date we receive your written notification. Refund eligibility and amounts are determined by the time remaining before your scheduled departure date, as detailed in the schedule below.
Please note that certain components of your tour package — including international flights, premium accommodations, exclusive experiences, and festival or holiday bookings — may be subject to more restrictive cancellation terms imposed by our suppliers. Any such restrictions will be disclosed at the time of booking and will supersede the standard cancellation schedule for those specific components.
Standard Cancellation Schedule
For standard tour packages (excluding those with special event or holiday surcharges), the following cancellation fees apply based on the number of days before your scheduled departure:

The deposit amount (25% of total package price) is non-refundable in all circumstances, except as provided in Section 04 (Tour Cancellation by Globetrix Tours) or Section 05 (Force Majeure). The administrative fee noted above covers our costs of processing the booking, arranging reservations, and managing cancellations with our partners.
Special Booking Conditions
Cherry Blossom Season & Golden Week
Bookings that include travel during peak periods (typically late March through early April for cherry blossoms, and late April through early May for Golden Week) are subject to modified cancellation terms due to high demand and prepayment requirements from our suppliers. For these bookings:
- Cancellations 91+ days before departure: 50% refund
- Cancellations 0–90 days before departure: No refund
Private Group Bookings
For private group tours of six (6) or more travelers, the following enhanced schedule applies:
- Cancellations 121+ days before departure: Full refund minus $500 administrative fee per group
- Cancellations 91–120 days before departure: 50% refund
- Cancellations 0–90 days before departure: No refund
Custom and Bespoke Itineraries
Tours involving significant custom arrangements, private guides, exclusive venue access, or specially chartered transportation may have unique cancellation terms specified in your Booking Confirmation. These terms will control to the extent they differ from this standard policy.
Tour Cancellation by Globetrix Tours
Globetrix Tours reserves the right to cancel any tour prior to departure for reasons including, but not limited to: insufficient enrollment, safety concerns, supplier failures, or other operational exigencies. In the unlikely event we must cancel a tour, you will be notified as promptly as possible and offered the following options:
- Full Refund: A complete refund of all payments made to Globetrix Tours for the canceled tour package.
- Alternative Tour: Transfer your booking to an alternative departure date or a different tour package of equal or lesser value (with a refund of any price difference).
- Travel Credit: Receive a credit valid for twenty-four (24) months toward any future Globetrix Tours journey, often with an additional 10% value as a gesture of goodwill.
Globetrix Tours is not responsible for any incidental expenses or consequential losses you may incur as a result of a tour cancellation, including but not limited to: visa fees, vaccinations, non-refundable flight tickets purchased independently, or travel insurance premiums. We strongly recommend purchasing comprehensive travel insurance that includes coverage for tour operator cancellation.
Force Majeure and Extraordinary Circumstances
Neither party shall be liable for failure to perform obligations under this agreement when such failure results from causes beyond reasonable control ("Force Majeure Events"). Such events include, but are not limited to: acts of God, natural disasters, severe weather, earthquakes, volcanic eruptions, pandemics, epidemics, government travel bans or advisories, war, terrorism, civil unrest, strikes, or failure of essential infrastructure.
Our Commitment During Force Majeure
If a Force Majeure Event prevents us from operating your tour as scheduled, we will work diligently to provide one of the following remedies:
- A full travel credit valid for thirty-six (36) months from the original departure date.
- Rescheduling to a later departure date or alternative itinerary at no change fee.
- A refund of recoverable costs, minus non-recoverable deposits paid to third-party suppliers.
The specific remedy available will depend on the circumstances and our ability to recover prepaid amounts from suppliers. We advocate aggressively on your behalf with all partners to maximize recoverable funds.
Partial Cancellations and No-Shows
Partial Cancellation (Reducing Group Size)
If one or more members of a booking party cancel while others remain on the tour, the per-person price for the remaining travelers may be recalculated based on the new group size. If the recalculated price is higher, the remaining travelers are responsible for the difference. Cancellation fees for the departing travelers apply as per the schedule in Section 02, calculated on their portion of the total booking value.
No-Shows and Early Departure
No refunds will be issued for travelers who fail to arrive for departure ("no-shows") or who voluntarily leave a tour early for any reason. This includes unused accommodations, meals, activities, or transfers. If you must depart early due to a documented medical emergency, we will provide documentation to support any travel insurance claim you may file.
Missed Connections
Globetrix Tours is not responsible for flight delays, cancellations, or missed connections that prevent you from joining the tour at the scheduled start time. We recommend arriving at least one day before your tour begins to mitigate this risk. If you miss the tour start due to travel disruptions, no refund will be issued, but we will assist with arranging catch-up logistics at your expense.
Changes and Modifications
Changes Initiated by You
If you wish to modify your booking — including changing departure dates, upgrading accommodations, or adding travelers — we will make reasonable efforts to accommodate your request. Change requests made more than 90 days before departure typically incur a $150 administrative fee plus any cost differences. Changes requested within 90 days of departure may be treated as cancellations subject to the fees in Section 02.
Changes Initiated by Globetrix Tours
We reserve the right to make minor modifications to itineraries to improve the travel experience or respond to local conditions. If we must make a material change (such as changing the departure date by more than 48 hours or substituting a major destination), we will notify you promptly and offer the option to cancel with a full refund or accept the modified itinerary.
Processing Refunds
Approved refunds will be processed to the original payment method within fourteen (14) business days of confirmation. Please note:
- Refunds for credit card payments will appear on your statement within 5–10 business days after processing, depending on your card issuer.
- Refunds for bank transfers require your full banking details and may take up to 10 business days for international transfers.
- Currency exchange rate fluctuations are the responsibility of the client; refunds are issued in USD at the exchange rate prevailing on the date of refund processing.
- Third-party booking platform fees (if booked through a travel agent or online travel agency) are non-refundable and must be addressed with the booking platform directly.
Travel Insurance Recommendation
Globetrix Tours strongly recommends that all travelers purchase comprehensive travel insurance at the time of booking. A suitable policy should include coverage for:
- Trip cancellation and interruption
- Emergency medical expenses and evacuation
- Baggage loss, delay, or damage
- Travel delay and missed connections
- Supplier default or financial insolvency
Many of the cancellation fees described in this policy may be recoverable through a comprehensive travel insurance policy. We are happy to provide documentation to support any insurance claim you may need to file.
